STIBOL STUDIO DASHBOARD PRIVACY POLICY
About this policy
Stibol Music operates Stibol Studio Dashboard for authorized staff to manage and review studio scheduling and lesson records. This policy describes the Dashboard and its connected services. It does not replace policies governing the public Stibol Music website, lesson purchases, or unrelated services.
Information the Dashboard accesses
Depending on the connections authorized by a studio administrator, the Dashboard processes:
• Selected Google Calendar information, including calendar names, event identifiers, lesson titles, dates, times, durations, and scheduling details. Source records may contain student and instructor names.
• Approved Google Sheets containing studio schedules and lesson-tracking information, including names, assignments, dates, and lesson counts.
• Files and metadata in explicitly approved Google Drive locations. The existing screenshot-review feature reads approved scheduling images, which may contain names and appointment details.
• Square calendar observations and supporting local evidence used to check appointment coverage, instructor assignments, lesson times, and counts. Source views may include personal information displayed by Square.
• Connection credentials and technical records needed to maintain authorized access, track successful and failed checks, and investigate discrepancies.
Google authorization credentials are distinct from a user's Google password. The Dashboard connects through Google's authorization process; it does not ask users to give their Google password to Stibol Music.
How information is used
Stibol Music uses this information to display and reconcile schedules, plan rooms, review lesson totals, investigate conflicting records, and maintain a history of reviewed results. A separately authorized Google Sheets posting feature writes to the designated lesson tracker only after explicit administrative approval. The Square reader does not create, change, or delete Square appointments.
Stibol Music does not sell Google user data or use it for advertising, credit decisions, or training generalized artificial-intelligence or machine-learning models. Use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
Private transfer of validated lesson summaries
An automatic Google Drive transfer is being prepared. When enabled, the Windows reader will upload a limited validated lesson-data file to a dedicated private studio folder, and the Mac Dashboard will retrieve and check it. The file will contain the lesson date, instructor assignments, lesson times and durations, service classifications, counts, non-name appointment identifiers, and verification metadata needed to verify the result. Any approved exception will be represented with the minimum information required to validate it.
This transfer will not include student contact information, Square credentials, cookies, browser-profile data, or raw screenshots. Existing screenshot inspection is a separate, explicitly authorized feature. Private Drive files are stored by Google under the studio's account; the transfer does not make them public.
Storage and access
The Dashboard retains operational records, connection settings, and verification evidence on studio-controlled computers. Connected source data and any enabled transfer files also reside with their respective providers. Access is limited to authorized studio personnel and providers needed to operate the selected services. Technical support access, when authorized by the studio, must be limited to the work required.
Application data is not published on these information pages. The public pages are hosted on Wix and do not provide access to the operational Dashboard. Public-site hosting and browsing information are handled separately from the Dashboard's connected account data.
Retention, correction, and deletion
Records are retained while needed for studio operations, verification, resolving discrepancies, and applicable recordkeeping obligations. The Dashboard does not currently apply a universal automatic deletion period. Revoking a connection does not remove previously saved records or source-provider records.
For a request to review, correct, or delete Dashboard information, contact stibolmusic@gmail.com. Stibol Music may need to verify the requester's identity and authority before acting. Requests will be reviewed in light of operational and applicable recordkeeping requirements. Copies held by Google, Square, or another provider may require separate action through that provider.
Your Google connection
The connecting account holder may revoke the application's Google access through the Google Account's third-party connections settings. If access expires or is revoked, affected updates stop until reauthorized. The Dashboard may retain an earlier validated reading with its original capture date; an earlier reading is not proof that a new check succeeded.
Policy updates and contact
Stibol Music will update this page when its Dashboard data practices materially change. Questions about this policy or the application's handling of information can be sent to stibolmusic@gmail.com.
